Terms and Conditions
Access to the STEM Camp program services available through this Website (Services) are subject to the following terms and conditions (Terms and Conditions). By using the Services, you are agreeing to all the Terms and Conditions, as may be updated by us from time to time. We encourage all parents and guardians to carefully review all details, including program dates, locations, and participant information, before making an enrolment. We appreciate your understanding and support in helping us provide enriching STEM experiences for all.
The Services provided by STEM Camp Pty Ltd (ACN 690 384 420) consist of school holiday programs (Program) for children dedicated to inspiring curiosity, learning, and confidence in young people through engaging educational experiences focused on science, technology, engineering and mathematics.
Our Contract
By enrolling your child in the Program, you are offering to purchase the Services on and subject to these Terms and Conditions. You will, where applicable, ensure your child complies with these Terms and Conditions. All enrolments are subject to availability and payment of the Program price. To contract with us, you must be over 18 years of age and hold a valid credit or debit card issued by a bank acceptable to us.
Enrolments
Enrolments must be received by the due date. Late enrolments will be considered based on current attendance numbers and staff availability.

Your child is not enrolled until full payment is received.
You will receive confirmation of your child’s enrolment.
Pick-up and Drop-off
Drop-off: 8:00am–8:30am. If your child is not dropped off by 8:30am, they may miss that day’s excursion or activity, and fees will be forfeited.
Pick-up: 3:30pm–4:00pm. A fee of $30 per 15 minutes per child applies after 4:00pm.
STEM Camp is unable to supervise children outside of these times.
Authorised Pick-up Persons
Children will only be released to persons listed as authorised pickups on the enrolment profile. ID may be required.
Changes to authorised persons must be made by the primary contact before pick-up time. Requests made after pick-up time cannot be actioned, and late fees may apply.
Parents/guardians must keep all details (address, contacts, emergency contacts, authorised persons, medical information) accurate and up to date. STEM Camp is not liable for issues arising from incorrect or outdated information supplied to us.
Medical Conditions
You warrant that all allergies, medical conditions, and emergency contact information provided to us are true and complete. You must advise us of any changes before the Program begins.
You authorise STEM Camp to act according to their best judgment in any emergency requiring medical attention. You agree to indemnify STEM Camp for all associated costs including ambulance transport.
If your child becomes unwell, you must collect them from the Program or excursion venue, which may differ from the morning drop-off location.
Program Changes
Programs generally continue in extreme weather, though activities may be modified or moved indoors.
In addition, STEM Camp may amend activities where required. Any material changes (such as change of venue location) may be communicated via email/SMS.
Pricing may be reviewed and updated at any time.
Refunds and Cancellations
At STEM Camp, we take pride in offering small group, high-quality programs with limited places to ensure every participant has an engaging and safe experience. Due to the limited nature of our bookings, refunds or credits are generally not available for:
- Non-attendance or change of mind
- Arriving late or leaving early
- Incorrect purchase
- Gift cards and promotional vouchers
- Fees for Programs that have commenced or concluded
This section of the Policy does not exclude or limit your rights under the Australian Consumer Law (ACL). If a service provided by STEM Camp is faulty, not delivered as described, or fails to meet consumer guarantees, you are entitled to a remedy as required by law.
Special Considerations / Credits
In exceptional or unforeseen circumstances (e.g. serious illness or family emergency), please contact admin@stemcamp.com.au for a credit. Requests will be reviewed on a case-by-case basis, and any credit will be at the sole discretion of STEM Camp.
Credits:
- Expire 6 months from issue
- Cannot be transferred to another person
- Must be requested in writing to admin@stemcamp.com.au
- Are only issued for the full 3-day Program, not partial attendance
If STEM Camp cancels a Program, you will be offered a credit.
Personal Data Use
By enrolling your child, you:
- Warrant that all personal details supplied are true and accurate
- Consent to STEM Camp using personal information to manage and deliver Programs
- Agree to receive marketing communications about future Programs and early bird offers
You may opt out at any time by clicking unsubscribe or replying STOP to SMS messages.
We will not use your personal information for any other purpose without your consent unless required by law.
Photography and Media
You grant STEM Camp consent to photograph and video your child during Programs. These may be used for marketing purposes. Full names will never accompany images.
You may withdraw consent at any time by emailing admin@stemcamp.com.au.

Intellectual Property
All intellectual property rights, including but not limited to copyrights, trademarks, patents, trade secrets, course designs, methodologies, operational processes, educational materials, images or videos and any confidential or proprietary information (collectively, Intellectual Property) developed, created, or used by STEM Camp Pty Ltd or made available to you/your child via the STEM Camp website or through your engagement in the Programs, remain the exclusive property of STEM Camp Pty Ltd.
Participants, staff, volunteers, contractors, and any other individuals associated with the STEM Camp Program are prohibited from removing, copying, reproducing, sharing, distributing, disseminating, manipulating or otherwise disclosing or reproducing any Intellectual Property to any third party without the prior written approval of a director of STEM Camp Pty Ltd. You may not use any Intellectual Property in connection with any business or commercial venture.
The obligations in this section apply during and after participating in the STEM Camp Program and are intended to protect the company’s assets in accordance with applicable Australian intellectual property laws, including the Copyright Act 1968 (Cth) and the Patents Act 1990 (Cth).
Any breach of these provisions may result in disciplinary action, termination of involvement, and/or legal proceedings to enforce rights and seek remedies, including damages and injunctive relief.
Expected Behaviour
STEM Camp is committed to the safety and wellbeing of all participants, and everyone will be treated with respect and understanding. In addition to our policies relating to staff behaviour and child safety, the following behavioural standards among Program participants (i.e. the children) will be expected and monitored:
- Being respectful and courteous, treating others as they would like to be treated.
- Communicating respectfully. No swearing, hurtful language, aggressive behaviour, physical or emotional violence, or threats of violence; no seeking to harm, humiliate, intimidate, undermine or coerce others.
- Respectful behaviours. No behaviour that has a sexual element that is unwelcome, offensive, intimidating or humiliating to others. This includes unwelcome physical contact, sexual comments or jokes.
- Being respectful towards others by listening to and following all instructions of our staff and our venue partners.
- Being respectful towards personal property of others, and the property and equipment of the venue.
- Being respectful of the environment (e.g. no littering, no damage of plants/natural surroundings).
The reference to “others” in the above paragraph includes other Program participants, STEM Camp staff, staff of our venue partners, and anyone encountered during the Program.
If your child does not meet these expected behavioural standards, STEM Camp will provide a verbal reminder of behavioural expectations.
To ensure the safety and well-being of everyone involved in the Program, STEM Camp reserves the right to initiate further disciplinary action. The action taken will depend on the nature and severity of the case, and may involve suspension and physical removal of a child from the Program.
Suspension and removal will be at the sole discretion of STEM Camp, where you will be notified and be required to immediately pick up your child (at your cost). No Camp credits will be given for the remaining part of the Program.
If your child has repeatedly or continued to breach the expected behavioural standards and has been removed from our Program before, we reserve the right to refuse enrolment towards future STEM Camp Programs to ensure the safety and well-being of everyone involved in the Program.
Risk Acknowledgment and Consent
By enrolling your child, you acknowledge that Programs involve excursions, hands-on science activities, some physical activity, and travel to various venues. You agree that:
- You are the child’s parent/legal guardian.
- You understand and accept the Program activities and risks.
- Your child is physically and mentally capable of participating.
- Participation may involve inherent risks such as minor injury or illness.
- You voluntarily assume all risks associated with participation, including particular risks associated with any medical conditions of your child.
- You have made your own enquiries regarding Program risks.
Release and Indemnity
To the extent permitted by law, you release and indemnify STEM Camp and its officers, employees, contractors and agents from liability for injury, illness, loss, or damage arising from participation in the Program or breach of these Terms and Conditions.
Complaints
If you have feedback or complaints, please contact us at admin@stemcamp.com.au. We will work with you to resolve the issue promptly.
Variation
We may amend these Terms and Conditions at any time without notice. You should check this page regularly for updates.
Waiver
Any waiver of a Term must be in writing and signed by a director of STEM Camp Pty Ltd.
Governing Law
These Terms and Conditions are governed by the laws of Western Australia. Any disputes will be handled exclusively in Western Australian courts.
Entire Agreement
These Terms and Conditions constitute the entire agreement between you and STEM Camp Pty Ltd and supersede all prior agreements.
